1. Scope of Application

These terms and conditions apply to all online bookings, in-person purchases of stays, and rental agreements made with Rødgaard Camping. The terms cover the rental of camping pitches, accommodation units, and other services booked through our system or directly with us.


2. Number of Guests

The rental unit may only be occupied by the agreed number of guests. Any changes must be communicated prior to arrival.
Visitors beyond the registered guests must pay according to the applicable rates.
Persons under 18 years of age may not rent without an accompanying responsible adult.


3. Reservation, Prices and Payment

3.1 Booking

Bookings can be made online, by phone, or by email.
Once Rødgaard Camping has sent a booking confirmation to the provided email address, the booking is considered confirmed. If you do not receive a confirmation, please contact us.
It is the guest’s responsibility to verify the period, price, and accommodation unit stated in the confirmation. Any corrections must be reported in writing no later than 48 hours after receipt.
Bookings are personal and non-transferable.


3.2 Payment

Any agreed prepayment must be received by Rødgaard Camping no later than 10 days after the agreement is made. If payment is not received, Rødgaard Camping reserves the right to cancel the reservation without further notice.
For online bookings, payment is charged immediately to the payment card used.
The remaining balance is payable upon arrival or departure unless otherwise agreed.
All prices are stated in Danish kroner (DKK) including 25% VAT unless otherwise specified.
Rødgaard Camping reserves the right to correct pricing errors in the booking system; the prices stated on our website always apply.
Payment can be made using approved payment cards (Dankort, Visa, MasterCard). Fees charged by the card issuer may apply but are not collected by Rødgaard Camping.
Additional charges and unpaid amounts: Rødgaard Camping may charge unpaid amounts, cleaning fees, or damages directly to the payment card used at booking, or issue an invoice.


4. Check-in and Check-out

Check-in:

  • Cabins and rental units: from 15:00 (low season from 14:00)
  • Camping pitches: from 14:00 (possible between 12:00–14:00 – please contact us on arrival day)
  • Bathrooms: from 16:00
  • Late arrival: Please contact us if you arrive after 18:00. Welcome materials and pitch information will be prepared for you.

Check-out:

  • Cabins and rental units: no later than 11:00
  • Camping pitches: no later than 12:00 (settlement before 11:00)
  • Bathrooms: no later than 10:00

5. Cleaning of Rental Units

The rental fee includes mandatory final cleaning.
However, this does not exempt guests from the obligation to leave the unit in a tidy condition.

Guests are required to:

  • Wash and put away all dishes and kitchenware
  • Empty the refrigerator and cupboards
  • Dispose of waste in the designated containers
  • Empty and clean any barbecue grill
  • Leave the unit generally tidy and in order

Fees for insufficient cleaning may be charged to the payment card used for the booking or issued as an invoice.
Below are examples of tasks not completed:

Task Gebyr
Incomplete dishwashing 75–175 kr.
Unemptied refrigerator 50–150 kr.
Waste/empty packaging not disposed of properly 50–100 kr.
Grill not cleaned 75–225 kr.
General lack of tidying 150–300 kr.
Pets in beds or on furniture 150–300 kr.
Smoking inside the unit 150–800 kr.
Replacement or special cleaning of mattresses, duvets, and pillows 150–1.200 kr.

6. Liability for Damages

Rødgaard Camping is not liable for sudden damages, theft, or damage to personal belongings.

The campsite accepts no responsibility for the presence of insects (such as ants, earwigs, wasps, etc.) in rental units.

The guest is liable for any damage to cabins, rental units, campsite facilities, or inventory caused by the guest or their party.

Smoking is not permitted in cabins, rental units, service buildings, or indoor common areas. Any violation may result in a fee and compensation for damages or odor removal.

Any charges may be charged directly to the guest’s payment card or issued as an invoice.


7. Dogs / Pets

Pets are welcome at Rødgaard Camping but must not disturb other guests.

Pets are not allowed in service buildings.

Pets are allowed in selected rental units for an additional fee.

Pets must not be placed on beds or furniture and may not be left unattended in the unit.


8. Changes and Cancellation

8.1 Changes to Booking

Changes to arrival/departure dates, number of guests, or accommodation type must be submitted in writing.

Changes may result in additional fees or price adjustments depending on availability.


8.2 Cancellation per Booking

Individual bookings

  • 60+ days: Prepayment refunded minus DKK 175
  • 30–60 days: Prepayment minus DKK 175 and cost of first night
  • 14–30 days: 50% of total price charged
  • Less than 14 days: Full price charged
  • Early departure: No refund regardless of reason

Small groups (3–7 units)

  • More than 75 days: Prepayment refunded minus DKK 175
  • 45–75 days: Prepayment minus DKK 175 and first-night principle
  • 30–45 days: Prepayment minus DKK 175 and first night per unit
  • 14–30 days: 50% of total price charged
  • Less than 14 days: Full price charged
  • Early departure: No refund

Large groups (8+ units)

  • More than 75 days: Prepayment minus DKK 175 and first-night principle
  • 45–75 days: Prepayment minus DKK 175 and first night per unit
  • 21–45 days: 50% of total price charged
  • Less than 21 days: Full price charged
  • Early departure: No refund

General:
Cancellation is valid once received in writing (email or letter) by Rødgaard Camping.
The “first-night principle” refers to the average price of one night in one unit (the most expensive unit).
Cancellation insurance can be purchased for DKK 198 under specific terms.


8.3 No-show

If the guest does not arrive and no written notice is given, the booking is considered a no-show. In this case, no refund will be issued.


8.4 Cancellation Insurance

Cancellation insurance can be purchased at the time of booking for DKK 198.

The insurance must be purchased at booking or no later than 24 hours after confirmation.

With cancellation insurance, you may cancel your stay and receive a refund up to two weeks before arrival (before 12:00 noon), regardless of reason and without medical documentation.

For cancellations between two weeks before arrival and the day before arrival at 12:00 noon due to serious illness, injury, or death of the guest, spouse/cohabiting partner, children, or parents, a medical certificate is required for refund.

Cancellations after this period are non-refundable.

The insurance also allows a change of booking to another available date within the same year up to two weeks before arrival (before 12:00 noon), regardless of reason and without medical documentation. Price differences may apply, and the stay duration cannot be shortened.

The cancellation insurance does not cover the administrative fee of DKK 175.

Group bookings are not eligible for cancellation insurance.

If no cancellation insurance is purchased, standard cancellation terms apply.


9. Padel

9.1 Booking and Payment

The court is booked online via Rødgaard Camping’s booking system.

Payment is charged immediately to the payment card used at booking.

Bookings are binding, and access is granted via a personal code sent after booking. The code becomes active one minute before the booking time.


10. Cancellation and Changes

Cancellations must be made at least 24 hours before the start of play.

No refunds are given, but bookings may be rescheduled if the deadline is met.

In case of no-show or late cancellation (less than 24 hours), no refund or compensation is provided.

Rødgaard Camping reserves the right to cancel bookings due to events or maintenance. In such cases, an alternative time will be offered.


9.3 Use of the Court

The court may only be used for padel and only by the registered players.

Approved padel equipment must be used, and the wrist strap must be worn during play.

Play must take place within the booked time slot.

Guests are expected to clean up and leave the court in good condition.


9.4 Liability

Rødgaard Camping cannot be held liable for personal injury or loss in connection with the use of the padel court.

Users are liable for any damage caused to the court, equipment, or facilities.


11. Complaints and Disputes

Complaints regarding accommodation must be reported immediately and no later than the day after arrival. Cleaning-related complaints must be reported on the day of arrival.

Rødgaard Camping must be given reasonable time to resolve any issues.

Complaints regarding booking or stay must be made within a reasonable time.

The right to complain expires one year after the stay (cf. Danish Sale of Goods Act §83(1)).

Danish law applies in all disputes.


12. Breach of Contract

House rules and instructions from management must be followed.

Ejection from the campsite results in termination of the stay without refund.


13. Force Majeure

Rødgaard Camping cannot be held liable for failure to fulfill obligations due to unforeseen events beyond our control, including but not limited to natural disasters, extreme weather, strikes, pandemics, fire, flooding, or other extraordinary circumstances.


14. Personal Data and Cookies

When booking and during your stay, Rødgaard Camping collects personal data such as name, contact details, and payment information.

The data is used solely for booking processing, payment handling, communication regarding the stay, and potential complaints.

Rødgaard Camping processes personal data in accordance with applicable data protection laws.

15. Complaints Options

Complaints regarding bookings or stays can be submitted verbally or in writing to Rødgaard Camping.

If a complaint is not resolved satisfactorily, it may be submitted to relevant Danish consumer complaint boards, such as the Danish Consumer Complaints Board.

Complaints must be submitted within a reasonable time after the issue is discovered.
